Communications

The most commonly used history is communications, which you use for phone outs, emails, faxes, etc.

First you have to choose the contact (1). If you only have one contact at that client, or the client is an individual it will be automatically filled.

The second one you have to choose is the communication category (2).

The communication category basically tells what this particular history item is all about. A communication category has a main and a sub category as well.

Every CRM+ has a default client category list, which you can modify for your needs:

By clicking on the plus sign, you can add new main or subcategories. By clicking the red icon in front of the name of the category, you can edit the category.

Note: renaming a category does not modify the existing histories category name!

After choosing the communication category, you can choose what you would like to do next.

You can :

  • Send an email
  • Print a letter
  • Import an email
  • Just type in some pieces of information (for example what you talked about on the phone).

Sending an email

Clicking on the little stamp icon (3), you will get to the email editor.

It's usage is basically the same, as a standard email client's. You can set the recipients, CCs, BCCs, subject, etc.

You can decide to create a new mail template (or load a previously created one), if there are many times when you send the same email with some minor changes. To do this click on the Letter template button.

If you do not wish to to this, just type in the letter, and press the send now button.

Your default email client will pop up with the message. Send it, and you'll return to the new history window.

Letter templates

If you choose to use an email template you will be promted to choose one from a 3 category list window:

The first column is the main category, the second one is the subcategory and the third one is the letter template.

You can edit one, by clicking on the red icon in front of the name of it:

The template editor window appears. Here you can set the subject(the name) of the template, and the body of it as well. However you can also use tags, to help you fill in data that are specific to the client, or to the creator, etc.

Tags

Tags are categorized. There are constant tags, and you can add custom tags as well.

A custom tag is mostly used to help you, when something changes. For example, if you create a custom tag with your office address, and use it in many templates, then if you move to another location, you only have to change that custom office address tag, and every template that uses that will have that new address inserted.

So it's much easier to change the tag rather than to change every single email template that you use.

Another usage can be a custom Promotion tag, that you write at the bottom of your emails. If the promotion changes, you just have to change that promotion tag, and the email templates will automatically be correct:

Printing a letter

You can also prints letters using the communications history.

Just click on the Letter button. The letter editor will pop up:

Here you can use letter templates, just like in the email editor. You can also change the letter format, which you can set up at Settings - General preferences - Letter format setup.

After you have finished the letter, press the Print button to print out the letter.

After this press the back button, to get back to the new history item window, to finish the history record.

Finishing a history record

You can decide whether you wish to add a reminder to this history item or not. For more information on reminders please read the reminder topic .

If you do not wish to add a reminder, you can hide the reminder part of the history, by clicking on the little down arrow icon:

If you do not close it down, CRM+ will ask you to fill out the reminder part of the history as well.

If you have closed it down, it will look something like this:

Now you can press the OK button, to finish this history.
